Rental policy

Requirements for motorcycle rental

  • For all the motorbikes, the minimum age required is 21 years old.
  • A valid driving license for the rented vehicle (A2 for KOVE 450 Rally and A for Aprilia Tuareg 660) and passport or identity card will be requested at the pick-up.

What is included in the rental rate of motorcycles

  • Unlimited mileage
  • Mandatory insurance
  • Full fuel tank
  • Tool kit
  • Medical kit
  • Helmet
  • Panniers
  • Rain gear
  • Phone holder and charging cables
  • Cargo nets and bungees to secure your luggage

Rental Period

A rental day is considered to be 24 hours from the time of rental.

If the number of rental days has been extended with the agreement of both parties compared to the number of days in the contract, upon Return, the difference in payment for the additional days will be calculated and paid.


Pick-up and Return process

  • The pick-up and return of the motorcycle, accessories, motorcycle documents and the key are done from Amber Trails Transylvania's location.
  • The customer will inspect the motorcycle at pick-up and sign-off the handing over protocol. During the handover process, we ensure careful attention to detail through a specified checklist. This allows us to familiarize customers with the motorbike's settings, included equipment, and important details that contribute to a safe and enjoyable journey.
  • Customers are expected to return the motorcycles in a clean condition. This ensures that the vehicle's overall state and any potential damage can be properly assessed. To assist with this, customers will be given recommendations on where to wash the bikes. The taking over protocol will be signed by parties after all contractual obligations have been met.

Late charges

  • The grace period for returning the motorcycle, accessories, motorcycle documents and keys is 1 hour. In case of exceeding the period, the customer is obliged to pay the value of one additional rental day – such costs are not covered by the warranty deposit and are due by the customer immediately.
  • If the grace period is exceeded by a period longer than 24 hours, Amber Trails Transylvania reserves the right to contact the competent police authorities.
  • In case the customer does not arrange the return of the motorcycle to the agreed location, the return proceedings will be organized immediately by Amber Trails Transylvania at the expense of the customer – such costs are not covered by the warranty deposit and are due by the customer immediately.

Fuel policy

Fuel costs are excluded from the rental rate. Amber Trails Transylvania provides all motorcycles with a full tank of fuel, and customers are expected to return the motorcycles refueled to the same level.


Reservation process

To secure a motorbike rental, with or without additional equipment, a non-refundable prepayment of 30% of the total renting price is required. This amount will be deducted from the total cost at the time of final payment. Customers will receive payment instructions via email upon completing their reservation. Once booked, and completing the pre-payment, the motorbike will be prepared in excellent condition and ready for use.


Cancellation policy

The prepayment of 30% of the total renting price is non-refundable.

If you let us know in advance that you cannot make it on the scheduled dates, Amber Trails Transylvania may, at its discretion, offer an alternative date. It is also possible to transfer your reservation to someone else. If you wish to do so, please inform us in advance.

We understand that weather conditions can sometimes be unfavorable for riding. However, please note, that Amber Trails Transylvania can not be held responsible for such situation. No refunds shall be granted due to bad weather. We may offer the option to reschedule your reservation for a later date, subject to availability.

Our goal is to ensure everyone is satisfied, and we will do our utmost to accommodate your needs.


Deposit vs. Insurance

At Amber Trails Transylvania, we encourage our customers to fully enjoy the adventure of off-road riding. Our motorcycles are built and upgraded for rugged terrain and come equipped with protective features to minimize damage. We understand that minor scratches, small falls are a normal part of off-road riding, and we do not charge for these cosmetic marks.

All motorcycles are equipped with mandatory RCA insurance. However, no standard vehicle insurance covers off-road damages.

Amber Trails Transylvania allows off-road riding and assumes responsibility for off-road damage only under the terms of the selected coverage option (Deposit or Insurance).

We offer two options for damage coverage during the rental period:

OPTION 1: STANDARD DEPOSIT COVERAGE

If a motorcycle sustains damage that requires replacement parts or professional servicing, the following policy applies:

Damage Requiring Replacement or Repair

  • If a part is broken or damaged beyond normal wear and requires replacement, the customer will be responsible for the cost of the part.
  • We source parts from trusted providers and will inform the customer with the exact pricing before proceeding - A Damage Assessment & Deposit Deduction Form will be completed during the handover process. This form will:  list all damages and associated costs, be signed by both the customer and Amber Trails representative and serve as confirmation before any deductions or payments are made.
  • If professional servicing is required, the customer will be responsible for the service cost.

Deposit Handling

  • If a replacement part is needed, the cost will be deducted from the deposit.
  • If the motorcycle requires professional servicing, the deposit will be held until the final service cost is determined.
  • If the service cost exceeds the deposit, the customer will be required to pay the remaining balance via bank transfer to Amber Trails Transylvania.
  • Once the service is completed, any remaining deposit will be refunded to the renter.

OPTION 2: DAILY INSURANCE COVERAGE

Customers may opt for daily insurance at €30 per day.

  • This insurance covers accidental damages up to €3,000 during the insured period.
  • For damages exceeding €3,000, the customer is liable for the remaining amount and will receive an invoice payable via bank transfer.
  • No deposit is required with this option.
  • Please note: The optional daily insurance applies only to the motorcycle. It does not cover rented gear such as helmets, jackets, gloves, or other equipment.

Regardless of the selected pricing option, the customer holds full liability for the following:

  • Total loss of the motorcycle
  • Drowning of the motorcycle
  • Intentional or reckless damage
  • Recovery expenses
  • Theft or loss of the motorcycle


We aim to be transparent and fair in our damage assessments, ensuring riders enjoy their adventure without unnecessary charges. Customers must select their preferred coverage option at the time of booking, before adding the selected motorcycle to the cart. Please contact our team for any coverage-related questions, we are happy to answer any question and provide guidance.


Gear damage policy

All rented gear is inspected at handover and return. Customers are responsible for any damage beyond normal wear and tear.Normal wear and tear includes:

  • Light surface scuffing
  • Minor fading or discoloration from use

Chargeable damage includes:

  • Irreparable cuts, tears, or punctures
  • Broken fasteners, zippers, or visors
  • Damage affecting safety or usability - significant scratches indicate blunt force damage

If damage is found:

  • The cost of repair or replacement will be deducted from the deposit (if applicable) or invoiced separately.
  • A Gear Damage Assessment Form will be completed and signed during handover.

Important: Rented gear is not covered by the optional motorcycle insurance.


Roadside/recovery assistance

1. Availability & Communication

  • Our team is reachable 24/7 for assistance and coordination.
  • At the time of rental handover, each customer receives an Emergency Package including: Key contact numbers in case of emergency, Basic maintenance and recovery instructions.

2. Recovery Support

  • We operate a dedicated van capable of reaching most accessible areas within the Apuseni Mountains on our designated tracks. However, as our base is located in Cluj-Napoca, travel time to certain areas, even within the Apuseni region, can be significant.
  • Recovery assistance by Amber Trails Transylvania is situational and depends also on the availability of our team.
  • If an incident occurs late in the afternoon, especially in distant terrain, it may not be feasible to wait for our team to arrive from Cluj before nightfall.
  • In such cases, we will prioritize safety and practicality by:  coordinating with local third-party recovery services, staying in contact to guide and support the customer through the process.
  • If the incident occurs on paved public roads, recovery is typically not a problem—there are plenty of towing services available throughout the region, and we will assist in coordinating with one if needed.

3. Customer Cooperation

  • Customers must maintain communication and share accurate GPS coordinates of their location.
  • Customers must keep in mind that recovery is only feasible if they remain within reachable areas where our van or third-party vehicles can safely operate.
  • If the motorcycle is damaged or immobilized in a remote or inaccessible area, the customer must assist in moving the bike to a reachable location.

4. Emergency Protocol

  • In case of injury or emergency, customers should contact local emergency services (112) immediately.
  • Our team will assist with logistics and communication but is not a substitute for medical or emergency response.
  • For incidents in mountainous or remote terrain, we strongly recommend contacting Salvamont (Mountain Rescue Service):
    • Salvamont is available via 112 or through their dedicated mobile app for faster location tracking and response.
    • They are trained for mountain rescue operations, including extraction from difficult terrain. 

5. Limitations & Exclusions

Recovery assistance is not covered under the following circumstances:

  • Recovery from non-designated tracks or prohibited areas outside the approved riding zones.
  • Damage resulting from reckless riding, negligence, or violation of rental terms.
  • Costs associated with third-party recovery services, unless explicitly pre-approved by our team.

6. Accidents Involving Other Vehicles

If an incident involves another vehicle, the customer must:

  • Contact the police to report the accident and obtain an official record.
  • Do not leave the scene until all necessary information is exchanged and authorities give clearance.
  • Document the incident: Take photos of vehicles, surroundings, and damage, record GPS location, collect contact and insurance details of the other party.
  • Notify our team immediately for support and coordination.

Failure to report such incidents to the police and our team may affect insurance coverage and liability.


Penalties

  • In case the customer loses the registration documents of the motorcycle, or the keys, a fee of 100 EUR will apply for each scenario.
  • In case the customer returns the motorcycle without a full fuel tank, a refueling fee of 100 EUR will be applied
  • Costs listed above are not covered by the deposit and are due by the customer immediately.
